Senior Executive Assistant to the CEO
About the role
We are seeking a seasoned Senior Executive Assistant to the CEO who will operate as a trusted senior partner and administrator to the Manutaki (CEO/Missioner). This role requires sound judgement, discretion and the ability to support the Manutaki to lead effectively across a complex and demanding portfolio.
The Senior Executive Assistant represents the Manutaki’s office with Trustees, the Directorate, the Senior Leadership Team, media, government agencies and Ministers. They are trusted to act on the Manutaki’s behalf in sensitive and confidential matters, ensuring communication is professional, timely and well managed.
The role combines strategic partnership & projects with the hands-on support expected of the Senior Executive Assistant. This includes preparing reports and briefings, managing the Manutaki’s diary, coordinating stakeholder access and engagements, and overseeing specific strategic and operational projects and initiatives. The successful candidate will be equally comfortable managing a Ministerial meeting request and taking care of the practical tasks needed to keep the Manutaki’s office running smoothly.

What you will be doing
- Executive coordination: Manage the CEO’s calendar, schedule meetings, prioritise commitments, manage incoming and outgoing calls, and adjust arrangements as needed.
- Stakeholder relationships: Manage relationships with key political, sector and community stakeholders, ensuring timely follow-up and professional communication.
- Access and prioritisation: Manage access to the Manutaki, exercising sound judgement to balance competing demands from the organisation, Trustees, government, media and community stakeholders.
- Strategic and operational projects: Support the organisation, management and delivery of new strategic and operational initiatives and projects as directed by the Manutaki.
- Meeting support: Organise and coordinate logistics for Directorate and Senior Leadership Team meetings, including agendas, minutes and follow-up actions.
What we are looking for
- Senior executive support experience: Five to seven years’ experience in advanced clerical, office administration or executive support roles, including at least three years supporting a CEO or senior executive.
- Prioritisation and judgement: Proven ability to manage multiple, competing and rapidly changing priorities while meeting the needs, deadlines and expectations of the CEO.
- Communication and attention to detail: Exceptional attention to detail, with strong written and verbal communication skills.
- Project coordination: Strong project management and coordination skills, with the ability to support work through to completion.
- Discretion and professionalism: A high level of discretion, professionalism and sound judgement when handling confidential or sensitive information.
- A demonstrated commitment to Te Tiriti o Waitangi and to the Mission’s values of Manaakitanga, Atawhai, Rangapū and Mana Tika, Mana Ōrite.
- A full, clean NZ driver licence.
